What Percent of My Patients Confirmed Their Appointment?

How to Use the Inbox to Calculate What Percent of Patients Confirmed Their Appointment

Your Inbox and Outbox can be a great place to pull statistics based off of your patient communication. This article will walk through how to find who responded to your Pre-Appointment Campaign so you can calculate the percentage of patients per a designated time period who confirmed their upcoming appointment. To learn more about Campaign Messaging, click HEREBelow is the formula that we will use to calculate that percentage. 

Formula: 
(# Of People Who Confirmed their Appt) / (# of People who Responded to the Pre-Appt Campaign)

Step 1: Find out who responded to your Pre-Appointment Campaign




  1. Go to the Broadcasts Tab
  2. Go to your Pre-Appointment Campaign
  3. Copy the verbiage of the Broadcast Message in which you are requesting the patient to confirm if they are still coming to their appointment. You do not need to copy the entire message. Be weary if you have multiple campaigns that may have similar verbiage. In my example, I am copying the verbiage from my 7 Day Appointment Confirmation Broadcast Message



  1. Go to the Inbox
  2. Select the Time Frame that you are searching, in my example I am viewing the previous month i.e. 06/01/22 at 12:00 AM through 06/30/22 at 11:59 PM
  3. In the Lead Sent by System Filter, paste the text from your appointment confirmation Broadcast Message
  4. Once all of your filters are appropriately set, click the Search button
  5. Count the number of people who responded that they would come to their appointment. In my example, out of the 15 people who responded, 1 Responded YES, they would come to their appointment, and 14 Responded NO, they would not come to their appointment.

Step 2: Divide the number of people who confirmed their appointment by the total number of people who responded


In my example, I found that out of 15 people who responded to the 7 Day Appointment Confirmation text, 1 of those people stated they would come to their appointment. 

1/15 = 0.07 or 7%

Overall per my example, 7% of people who responded to the 7 Day Appointment Confirmation Campaign Message between 06/01/22 through 06/30/22 stated they would come to their appointment.
