Schedule & Edit Patient Appointments

If you have direct integration from your scheduling platform to Dialog Health, and your team is having to manually update appointments in our platform to ensure that the appointment details are correct, please reach out to our support line, support@dialoghealth.com. Most clients integrated with Dialog Health should not have to make manual adjustments in the platform. 

How to Add a New Appointment

1) Search for the patient that you need to schedule an appointment for. You can search by Name, Patient ID, or Phone Number. If your patient is not yet in the Dialog Health platform, you will need to manually add them first before you can create a new appointment. 2) Once you ensure you have found the right patient, select List under the appointment’s column.



3) This will open the patients Appointments List. Select, Schedule Appointment, in the upper right-hand corner.



4) You will now be able to fill in the details you'd like to add about that patient’s appointment. After the preferred fields are completed, you will hit Create, in the bottom right-hand corner. Fields with asterisk indicate required fields for submission.



Appointment Date*

Select the Calendar Icon or type in the date of the patient’s appointment (i.e., 11/15/2023)

Appointment Time*

Select the time that the patient’s appointment is scheduled for (i.e., 2:00 PM)

Arrival Time*

Either set this as the same time as the patient’s appointment or if you utilize the <ArrivalTime> dynamic tag, you can select the time that you'd like the patient to arrive. (e.g., 30 mins early, 15 mins early...) To learn more about dynamic tags, click HERE.

Name*

Enter the name of the appointment you are scheduling for the patient. If other patients have also had this same appointment type, you should be able to select the appointment name from the drop down (i.e., Annual Wellness Visit).

Appointment ID

This must always be unique. If you leave this section blank, Dialog Health will generate a ID for you after you create the appointment. Below is an example of what a Dialog Health generated ID may look like. If your EMR automatically generates an appointment ID, we recommend using that as your identifier.

Appointment Status

Select the most applicable status as to why you are creating an appointment for that patient (i.e., Scheduled).

Location

You have the capability to enter the location of that appointment (e.g., Room #14, Radiology Dept, East Office).

Provider

You have the capability to enter the Provider that the patient will be seeing. If other patients have also had an appointment with this provider, you should be able to select that provider's name from the drop down.

Misc 1-5

These fields are open to your interpretation. You can enter in special identifiers to help you better text specific subgroups of patients. To learn more about how to message your audience using Miscellaneous fields, click HERE.

Ideas for Appointment Misc 1-5

  1. Location: Main, North, East...
  2. Waitlist: Use "Waitlist" as an identifier for whether someone requested an earlier appointment date
  3. Readmission Status: Use "Readmitted" as an identifier for where or not they were readmitted from a previous visit
  4. Pre-op Instructions: Use PREP as an identifier when a patient needs instructions related to their procedure texted to them
  5. Post-Appointment Education: Use EDU when a patient needs educational materials texted to them after their appointment
  6. Diagnoses Codes: Input diagnoses codes related to the appointment to help with billing

How to Edit an Existing Appointment

1) Search for the patient that needs their appointment updated. You can search by Name, Patient ID, or Phone Number. 


2) Once you ensure you have found the right patient, select List under the appointment’s column.


3) This will open the patients Appointments List. Select, the Pencil Icon under the actions column, next to the appointment you'd like to edit. 


4) You will now be able to edit the patients appointment. In the example below I am changing the appointment status to No-Show. Select Update in the bottom right hand corner once complete.



Navigate to Add/Edit Patient Appointments

Home Tab

On the home tab, you can select the Pencil Icon under the Actions column to edit a patient’s appointment.


Patient History

You can select the patients name to view their Patient History. From here, if you select the Calendar Icon, you will be redirected to that patient's Appointments List.




Patients Tab

Using the search bar, you can look up the patient. Dialog Health will redirect you to the Patients Tab. Beneath the Actions column, you can select the Calendar Icon to schedule a brand-new appointment, or, you can select List beneath the appointment’s column, which will redirect you to the patient's Appointments List.
