How to Build a Same-Day Broadcast Message
1) Navigate to the Broadcasts Tab, and select the Campaign Tab.
2) If you do not already have a Campaign Broadcast for your same-day messaging, you can create a new "bucket" to help organize your text messages. Select + Add Campaign Broadcast, and create your Campaign Name (i.e., Recall Messaging).
Select the edit option on the Campaign Broadcast you'd like to add your new broadcast message.
3) Select + Add Message in the top right-hand corner to create a new Broadcast.
4) Create New Broadcast Message
- Broadcast Name: Select a name for your Broadcast that will make it easy for your team to identify the text message/purpose. (i.e., 5 Year Colonoscopy Recall)
- Send When: To ensure that this broadcast message only goes to the appropriate audience, select the applicable send-when rules (i.e., Appointment/Event Name is..., Provider Name is..., Location Name is...). The name should be found in the drop-down menu. If you would like everyone to receive a text message on the same day as their scheduled event/appointment, you do not need to set any send-when rules.
- Opt-In Group(s): Select the appropriate opt-in group(s).
- Audience: This should stay as Patient unless your team is utilizing Caregiver messaging. If so, select Patient and Caregiver instead.
- Send Time: Select the Event date is today from the drop-down menu, then select the preferred time you'd like the message to be sent that day. Remember that campaigns are triggered based on appointment/event dates.
- i.e., if a patient has a scheduled event/appointment for 10/02/2023 at 3:00 PM CDT, they would receive the example campaign below on 10/02/2023 at 10:00 AM CDT. Appointment/Event time does not affect the time the text message sends.
- Message: Input your preferred message that you'd like your audience to receive. You can use Dynamic Tags located below the text box to further personalize your text message. To learn more about Dynamic Tags, click HERE.
- Once you have finished building your message, select Add in the bottom right-hand corner of the Create New Message box.
Your team can always go back and make changes to your Broadcast Message(s) by selecting the Pencil Icon found in the Actions column.
Keys for Success
After you have created your broadcast message, the text will be sent to the appropriate audience based on their scheduled event/appointment date, and the time you set your broadcast message to send out. Below we've listed the key steps you need to take to ensure your broadcast message sends out on time to the appropriate subscribers.
- The census you are attempting to message must be opted-in first to be eligible to receive text messages from your console. Making sure your audience is in the platform first enables you to select the appropriate send-when rules from the drop-down menu.
- Opt-in your audience at least 1 hour before the broadcast message is scheduled to be sent.
- If you do not select the same opt-in group that your audience is opted-in to, your subscribers will not receive the text message.
- After the initial setup, you should not need to update the broadcast message again to trigger the message to send. The campaign will automatically pick up any people who match the criteria you set the broadcast message to capture.
- Do not make any changes to your Broadcast Message within 1 hour of the selected send time. This may prevent your broadcast message from being sent out.
