Is your team ready to implement automated messaging? Then you've come to the right place! Within our platform, a Campaign has the capacity to encompass a series of automated broadcast messages. These messages are seamlessly dispatched in accordance with scheduled appointments or event dates. This comprehensive Knowledge Base article will guide you through the process of crafting and refining your Broadcast Messages within the Campaign framework. Create New Broadcast Messages
1. Navigate to the Broadcasts tab.
2. Select the Campaign tab.
3. Click Edit within the campaign you'd like to add a new broadcast message to. In the example below, I would like to add a new post-appointment broadcast message, so I will edit the post-appointment campaign. If I wanted to add a new pre-appointment broadcast, I would have edited the Pre-Appointment campaign.
4. Select +Add Message in the right-hand corner of the campaign window.
5. Create New Message
Broadcast Name:Pick a name for your broadcast message. This will be for internal use only. Our team recommends selecting a name that helps your team remember why this message is being sent. (i.e., 2 Day Post Procedure Survey)
Audience:Unless your team is actively using caregiver messaging, you can leave your audience as Patient. To learn more about Caregiver messaging, click HERE.
Opt-in Group(s):Select the appropriate opt-in group(s). For example, if the message should only target patients, select the main patient opt-in group. If you use multiple groups, take caution when selecting all groups unless you are truly attempting to message all subscribers. To learn more about opt-in groups, click HERE.
Audience Filters: In this tutorial, our goal is to message all subscribers 2 days after their scheduled procedure has been completed, so we do not need to select any audience filters. If you are looking to exclude, or target a specific subset of subscribers, use the audience filters to narrow down your selection. Continue to the next section of this article to learn more about audience filters.
Send Time:Select when you'd like to automate the message. Campaign messages are sent depending on a scheduled appointment/event date. (i.e., In the example above, I would like patients to receive my survey 2 days after they have completed their procedure at 10:00 AM. If Franklin Surgery Center has a patient scheduled on August 24th, 2023, the patient will receive this text message on August 26th, 2023 at 10 AM CDT).
Message: What would you like to say to your audience? Free text the message you'd like to automate. Monitor the character counter in the bottom right-hand corner to control the length of your message. Dialog Health recommends staying below 2-3 SMS for the best results. (i.e., the example above is just barely over 2 SMS).
Dynamic Tags: Use dynamic tags to enrich your messaging experience. To learn more about dynamic tags, click HERE. (i.e., the example above utilizes the first name dynamic tag).
6. Once you have finished creating your message, select Add.
Messages cannot be created or edited within 1 hour of the scheduled send time. If you create/edit a message within that time block, it may not be sent until the following day.
Audience Filters
Audience filters can be used to exclude or direct messaging to specific audiences. Below are a few common examples from Dialog Health clients. There are a multitude of combinations available to use with Audience filters. If you need assistance to set up your audience filters, feel free to reach out to our support line.
1) One of my providers does not want messages sent to their patients.
2) One of my providers wants their own unique message.
3) I have a specific appointment type that should only receive this type of message.
4) I wrote my message in Spanish, and would only like Spanish-speaking patients to receive this message.
5) My provider wants different types of messaging between the multiple locations they work at.
Edit Broadcast Messages
1. Navigate to the Broadcasts tab.
2. Select the Campaign tab.
3. Click Edit within the campaign you'd like to update.
4. Select the Pencil icon next to the message you'd like to make changes to.
5. Edit Message. Make any changes you'd like to your existing message. Once completed select update in the bottom right-hand corner.
